Job description

The Data Entry Analyst is responsible for maintaining the accuracy, integrity, and consistency of item and order data in the NAV system. This role works closely with Merchandise Coordinators and Buyers to validate information prior to entry, ensuring it meets established standards and process requirements. The Data Entry Analyst plays a key role in safeguarding data quality, supporting operational efficiency, and driving compliance with purchasing processes. In addition, this position contributes to key data integrity projects that improve the accuracy of item records and the reliability of reporting.

 

Key Responsibilities and Accountabilities

NAV System Data Management

  • Create, update, and maintain accurate item records, hierarchies, vendor details, and purchase orders in the NAV system.
  • Execute item status changes, pricing and cost updates, and markdown entries in accordance with approved processes.
  • Ensure data entries align with purchasing strategies, vendor agreements, and internal standards.

Data Validation and Compliance

  • Partner with Coordinators and Buyers to review and validate data before it is entered into the system.
  • Identify incomplete, inaccurate, or non-compliant data and provide clear feedback or pushbacks to ensure corrections are made prior to entry.
  • Monitor adherence to established purchasing and data entry processes, escalating issues when necessary.
  • Conduct periodic data audits to maintain high integrity standards.

Purchasing Operations Support

  • Support purchasing operations by maintaining accurate purchase order records, including creation, adjustments, and cancellations.
  • Provide timely and accurate support and communication to assist in purchasing decisions, projects, and deliverables.
  • Collaborate with cross-functional teams, including Planning, Replenishment, Accounting, and Logistics, to support entry or resolve data-related discrepancies.

Project and Process Improvement

  • Participate in and support key projects focused on improving data integrity, system functionality, and operational efficiency.
  • Support efforts in process improvements, documentation and contribute to best practice guidelines for data management.

Qualifications and Skills

  • 1+ year of experience in data entry, administrative support, or related office role (retail or purchasing environment preferred but not required).
  • Strong attention to detail and commitment to data accuracy.
  • Basic to intermediate proficiency in Microsoft Excel, Word, and Outlook.
  • Ability to learn and work within ERP systems (NAV experience a plus but not required; training provided).
  • Strong organizational skills and ability to manage multiple priorities in a fast-paced environment.
  • Clear and professional communication skills, with the ability to ask clarifying questions and provide feedback when data is incomplete or incorrect.
  • Team-oriented mindset with a willingness to collaborate and follow established processes.
  • Proactive and dependable, with a positive attitude toward learning and problem-solving.
