As we continue to grow, we are looking for a detail-oriented and dependable Accounts Payable Assistant to support our accounting team.

Position Overview

The Accounts Payable Assistant will play a key role in managing vendor invoices, maintaining accurate financial records, and ensuring timely payments. This position requires strong organizational skills, attention to detail, and the ability to work efficiently in a fast-paced environment.

Key Responsibilities

  • Process vendor invoices and ensure accurate entry into the accounting system
  • Perform three-way matching (Purchase Order → Receipt → Invoice)
  • Prepare and process payments, including checks and electronic payments
  • Maintain vendor records and assist with 1099 vendor setup and tracking
  • Review vendor statements and resolve discrepancies
  • Assist with accounts payable reporting, including AP aging and vendor summaries
  • Ensure proper expense coding and cost allocation
  • Communicate with vendors to resolve billing issues or missing documentation
  • Maintain organized documentation and support accounting records

Required Qualifications

  • 3–5+ years of Accounts Payable or accounting experience
  • Experience with QuickBooks (QuickBooks Enterprise preferred)
  • Strong knowledge of Vendor Center, Bills, Bill Payments, Credits, and Purchase Orders
  • Experience with invoice processing and check preparation
  • Strong proficiency in Microsoft Excel
  • Excellent attention to detail and organizational skills
  • Ability to manage multiple tasks and meet deadlines
  • Reliable and able to work independently

Preferred Qualifications

  • Experience working in construction, landscaping, or a related industry
  • Experience in multi-user accounting environments
  • Familiarity with custom reporting and AP aging reports
  • Bilingual (English/Spanish) is a plus
