Job Title: Administrative Assistant - Human Resources

Job Summary: The Administrative Assistant I for Human Resources provides clerical, administrative, and customer service support to the HR department. This position assists with daily office operations, employee records management, data entry, and communication with faculty, staff, visitors, and external agencies while maintaining confidentiality and professionalism.

Description of Job Duties: Appropriate on-campus attendance and punctuality required. Maintain confidentiality of sensitive employee and institutional information. Serving as a point of contact, providing smooth communication with employees and timely resolution to their questions. Assist the HR department by scheduling meetings, appointments, greeting visitors, answering phones, and responding to routine HR inquiries. Assist with performing essential day-to-day clerical duties, including but not limited to typing, data entry, drafting of letters, proofing, and editing documents, scanning, and filing. Prepare correspondence, reports, forms, and other HR-related documents. Ability to learn HRIS systems and databases quickly. Review employee time entry submissions for completeness and accuracy. Coordinate with Payroll regarding time entry corrections, deadlines, and processing. Assist in maintaining the office supplies & equipment needs. Procure quotes as needed. Must be able to meet deadlines. Notify Supervisor or Human Resources of any potentially dangerous equipment, practices, or violations of safety procedures. Promote personal safety, safety procedures, and a safe work environment. Assist in emergency situations and as called upon other duties as assigned.

Terms of Employment: Employment is at will. Reports to the Assistant Vice President of HR and the Assistant Director of HR. Safety and job-related training(s) will need to be completed. Wage to be established by SWOSU's wage structure. Full-time status. Non-exempt.

Education and Experience: Strong written, verbal, basic math skills, and interpersonal skills are required. Preferably two to three years of experience as a secretary or acceptable equivalent experience or an associate or bachelor's degree. Strong attention to details and organizational skills are required. Ability to use office equipment. Proficiency with Microsoft Office applications and general computer skills. Preferably experience in Human Resources, Payroll, or higher education environments. Such alternatives to the above qualifications as the President of SWOSU or his/her designee may find appropriate.
